Getting Started: Setting Up Worklog360

This page will guide you through the initial setup of your account, including permissions, rates, roles, people, working hours, internal issues, and holidays — so your team can start tracking time efficiently.


1. Setting Up Permissions

Worklog360 allows you to control who can view and access different app menus:

  1. Go to Settings → Permissions.

  2. You’ll see a column layout with all Jira groups.

  3. For each group, mark which app menus they can access (Time Reporting, Budgeting, Invoicing, etc.).

  4. Click Save to apply changes.

Tip: Setting proper permissions ensures users only see and interact with the features relevant to their role.


2. Setting Up Roles, Rates, and People

Worklog360 links people, roles, and rates to streamline billing and reporting:

  1. Go to Roles & Rates:

    • Create roles and define default billable rates.

  2. Go to People:

    • Add users, select their role, and define their working hours.

    • Selecting a role will automatically pre-fill the billable rate for that person.

    • You can also set a cost rate per person.

Rate Hierarchy:

  • Instance rates (Settings → Rates) — lowest priority

  • Role-based rates

  • Project rates (can override role rates per project)

  • Project member rates (can override project and role rates)

  • Manual adjustments via Bulk Edit (applies to existing worklogs, including external system logs)


3. Setting Up Internal Issues

Internal issues track non-project activities that your organization still needs to account for, such as:

  • Vacation, sickness, parental leave

  • Demos, meetings, internal training

Go to Internal Issues and define issues for your organization. Users can log time against these issues to ensure accurate reporting and budget tracking.


4. Defining Working Hours

Set up each team member’s working schedule to calculate capacity and missing hours:

  1. Navigate to People → Working Hours.

  2. Define the weekly schedule for each user (start/end times, working days).


5. Configuring Holidays

Set company-wide or regional public holidays:

  1. Go to Settings → Holiday Calendar.

  2. Click + Add Holidays and define the dates.

  3. Worklogs on holidays can be automatically excluded from capacity calculations or marked appropriately.


6. Finalizing Setup

Once these steps are complete:

  • All new worklogs will be automatically assigned to the correct budgets, rates, and users.

  • Use Worklogs & Budget Administration to adjust historical or imported worklogs if needed (billable hours, rates, budgets).

  • Click Calc in budgets to ensure all worklogs are included and amounts calculated.

Tip: Review permissions, roles, and rates regularly to keep your setup accurate as teams and projects evolve.
