How everything fits together (big picture)

  • Time - the menu helps you track, review, and manage worklogs across your team. It contains two main sections:

    • My Time - The section lets you log, view and manage your own worklogs. It has three sub-tabs to organize your time effectively: Check: How to log time

      • Table - See your logged hours in a traditional timesheet format, with a daily and weekly overview. Quickly add, edit, or delete time entries.

      • List – View all your worklogs in a detailed list format.

      • Calendar – Visualize your logged time on a calendar. This view helps you spot gaps, overlaps, or patterns in your work schedule.

    • Approvals - Review and approve worklogs submitted by your team. This ensures that time is validated before it’s used for reporting, billing, or payroll. Check: How to use Approvals

  • Reports - helps you analyze and review logged time across your team or projects. It contains three main sub-tabs:

  • Financialas - The Financials menu helps you manage budgets, monitor worklogs for billing, and handle invoicing. It contains three main sub-tabs:

    • Budgets - Set up and track budgets for projects or clients. Monitor progress against budgeted hours or budgeted amounts to ensure your team stays on target. Check: How to create and track budgets

    • Worklogs & Budget Administration - Manage and review worklogs from a financial perspective. This includes verifying and adjusting:

    • Invoicing – Create, manage, and send invoices to clients based on tracked billable worklogs. Invoices are generated from the budgets you’ve set, ensuring amounts accurately reflect the time and rates allocated to each project. This tab helps you streamline billing and keep your financials organized. Check: How to do Invoicing within Worklog360

  • Projects - This menu acts as a quick portfolio view, giving you an at-a-glance snapshot of project health. Track budgets, monitor billable hours, see financial performance, and quickly spot which projects need attention — all in one place. This items are still under development

  • Reports (OLD) - helps you analyze and review logged time across your team or projects. (Please use the new reports. This feature is planned to be deprecated in the long run)

  • Manage - The menu helps you organize your team, clients, and internal structures efficiently. It contains the following tabs: How to initially setup Worklog360

    • People - Add Worklog360 team members, define working hours, assign roles, and automatically fill in billable rates and cost rates based on the selected role.

    • Clients - Manage your client list

    • Roles & Rates - create and edit roles with default billable rates, providing consistency across the team.

    • Internal Issues - Define which Jira issues that will be used to track vacation, training, meetings, onboarding or any other. How to setup Internal Issues

    • Accounts - This is a flexible feature that helps you organize your company's projects and initiatives to get useful time data, such as time spent by multiple teams across multiple Jira projects. Setting up Accounts

    • Off Jira Activities - Track time spent on activities outside Jira, such as external meetings or administrative work. (This feature will be deprecated. Use the new Internal Issues instead)

    • SubTeams - Organize people into sub-teams for easier management and reporting. (New Sub Teams menu will be created soon and this one will be deprecated)

  • Settings - The Settings menu allows you to configure Worklog360 to match your team’s workflow and organizational rules. It contains the following tabs: How to initially setup Worklog360

    • Time – Configure default time settings and preferences for logging work.

    • Rules – Set up rules for approvals, notifications, or other workflows.

    • Approvals – Defining super approver that can review and approve any timesheets.

    • Billable Hours – Enabling the tracking of Billable hours

    • Rates – Manage default instance rates for the app. If no other rates are defined this one is used

    • Holiday Calendar – Define company or public holidays to exclude from time tracking calculations.

    • Activity Types – Create and manage categories for different types of activities to track time more accurately. Available in the log form.

    • Permissions – Control which Jira groups and users can access specific menus and features in the app.

    • Invoicing – Fill in your company details for invoicing.

Why are you using Worklog360?

  • Track time to know where it goes

    Increase productivity or efficiency by understanding where time is spent, then you can make better estimates on future projects based on time tracked to previous projects.

  • Track billable hours for invoicing

    Working on contracts with clients and have employees who do billable work? You'll probably need to send accurate detailed invoices. Give clients an hourly breakdown of billable time - they will love you for it!

  • Track Project Budget Progress

Project budget tracking might not be the most glamorous aspect of project management, but it’s the financial backbone that separates profitable projects from those that drain your resources.
