Creating Worklog360 Accounts

You can create Worklog360 accounts to organize the logged time data in your organization. There are different reasons you may want to do this, such as for tracking billable work for the purpose of invoicing customers/clients, or for tracking your capital expenditures (Capex) for the purpose of applying for tax credits.

A powerful feature with Worklog360 accounts is that you can connect the accounts to the Jira projects that you and your organization will be working on, which lets employees then log their time to a specific account associated with a Jira issue. Worklog360 accounts let you unite the work done across multiple Jira projects and multiple teams. Linking accounts to Jira projects lets you unlock the true power of accounts by capturing the time logged to them. Then you can get that time data easily in reports; for example, you can filter a Logged Time report by the accounts and get a clear view of how much time has been spent on each one.

Creating an Account

  1. Select Accounts/Clients in the Worklog360 sidebar.

  2. Click + Create Account at the top-right.

  3. Fill in the Create Account form:

    • Name - A descriptive name for the account. The account name is used to display the account in in the Log Time form in Worklog360 Timesheets

    • Key - The account key needs to be unique for the account. For example, you could use this as a way to match this Worklog360 account to the account in your accounting or financial software. The key can use letters (a-z, A-Z), digits (0-9), underscore ("_"), dash ("-") or a dot ("."). You cannot change the key after the account is created.

    • Account Lead - The account lead is responsible for the account. This is often an account or project manager. Select an existing Jira user.

    • Type - Select Account Type

    • Category - Optional. Select an account category to associate with the account from the dropdown. The account category is a way to group different cost centers and work activities, such as Development or Marketing. There are four types of categories you can use to classify an account category: Billable, Capitalized, Operational, and Internal.

      • Billable - hours logged are billed to a customer or billed internally; for example, consultancy work for a customer or hours that an internal service department bills other departments. If this one is used you will not need to take worklog billable hours in to account it will be just the total logged hours that you will consider to bill since they will be this account.

        • Select Billable category if you want later on to report on Billable Accounts. Examples of account name can be: (ClinetA_BillableWork).

      • Capitalized - hours logged that add capital to the business and are not billed; for example, hours that are invested in product development.

        You can track the billable amount of time logged to Capitalized Type (Capex) and Operational Type (Opex) accounts.

      • Internal - hours logged to ongoing activities within the organization that are not billed and do not directly add value to the business; for example, internal training, vacations, or sick leave.

        • If you user this account you will not need to use the Non Jira activity functionality. Instead you will need to create Jira issues that will represent things like internal training, vacations, or sick leave but will associated with Internal Worklog360 Account

      • Operational - hours logged related to business operations; for example, time spent on marketing activities, internal systems, bug fixes, or customer support (other than billable support).

    • Projects - Select the Jira projects that include issues to which you will be logging time for this account. You can link the account to more than one project.
